Community Engagement Coordinator

The Community Engagement Coordinator (CEC) serves Westport Country Playhouse as a primary contact with our community. The CEC reports to the Director of Marketing (DM) and works in concert with other members of the marketing department as well as with other key staff and departments to implement the organization’s programs in support of its mission and values. The CEC will work with various areas of the organization, as identified below, but the primary responsibility will be the building of community relations/engagement and connections. The CEC will investigate new ways in which the Playhouse can invest and engage in the community and the community can invest and engage in the Playhouse. Supporting our work onstage will remain the central focus at all times.

The CEC’s responsibilities include, but are not limited to, the following:

Community Relations

  • Create active connections throughout the various aspects of our community, to broaden the reach of the Playhouse, building upon already established connections and fostering/stewarding new opportunities.
  • Connect community organizations, businesses, groups and individuals to the Playhouse in any and all ways for mutual benefit of both the Playhouse and the partner organization.
  • Act as liaison and ambassador for the Playhouse’s productions and programming in the community.

    Community Presence

    • Maintain a presence at all pertinent community building events both on and off-site, including, but not limited to: Arts Council events, Downtown Merchant Association events, Chamber of Commerce events, Celebrate Westport meetings and “Best Of” events, among others.
    • Represent the Playhouse at various networking and community events.

      Groups and Rental Event Lead Generation

      • Capture, distribute and take note of potential group sales and/or rental contact leads.

      Community Engagement Council

      • Serve as a liaison with the Board of Trustees’ Community Engagement Committee, focusing the Council on a target goal for a given season and cultivating friend-raising opportunities in addition to guiding the committee in support of the Playhouse mission.

        Niche Community Programs

        • Identify, cultivate and recruit family audiences for WCP’s Together at the Table program.
        • Create and facilitate programming events.(Taste of Tuesday, Wednesday Preview cultivation events, LGBT Night OUT, Ladies Night Out, Young Professionals parties, Date Night, Parent’s Night, etc.). Serving as the primary point of contact for the aforementioned events will include: stewarding/assigning event vendors; set up, planning, attendee tracking & event staffing; event invite design & target identification; and vendor tracking and payment processing.
        • Facilitate and steward the Young Professionals Network (YPN) committee (meets every other month) and assist in the planning, selling and execution of YPN events throughout the season.

          Vendor Relations

          • Solicit in-kind goods and services for the organization and foster strategic partnerships with area restaurants, retailers and other stakeholders for various Playhouse purposes for all departments and efforts.

          Promotions

          • Create and execute promotional opportunities in support of individual WCP productions (events or otherwise).
          • Exploit potential cross-marketing opportunities.
          • Create special ticket packages as needed/warranted.
          • Assist with papering previews through community contacts on a targeted, as needed basis.

            Community Events

            • Serve as the primary point of contact for all marketing/community events, including: arts festivals, community events, and others, as needed.

            Speakers Bureau

            • Coordinate and solicit speaking engagement opportunities for the Artistic and Managing Directors, and others as needed.

            Other Essential Functions

            • Technology

            Become familiar with and comfortable using the Playhouse ticketing system (Tessitura) and other Box Office computer systems in support of corporate, group, subscription and single ticket sales. Maintain and monitor community relations and community engagement related information on the Playhouse website. Assist in the maintenance of the database (lead sheets) for all in-kind, community relations and niche programming contacts. Maintain mailing lists of prospective ticket buyers captured from community and other outside events, and facilitate the inclusion of any collected data into Tessitura and Constant Contact on a regular basis. Work with DM to manage all expenses, contracts, and invoices associated with community engagement events while staying within predetermined budget guidelines.             It is understood that the CEC position may evolve to suit the needs of the organization. Duties will be assigned or removed as needed by the DM. This position requires flexibility in scheduling, as the CEC will be required at every community event both on- and off-site, in addition to regular business hours.

            Qualified candidates will be available for work on or about September 1, 2011 and will possess a positive attitude, strong work ethic and a sense of humor. Experience with community relations, particularly in the performing arts, is preferred. A passion for theatre is a must.
